Year-end reminder: Update your address or opt in to receive W-2 and 1095-C electronically

As the Payroll and Human Resource departments begin preparing for year-end, we ask employees to review their address in Banner and update it if necessary to ensure tax documents are sent to the correct location.

To verify your address:

  • Log on to Banner Web for Employee Dashboard.
  • Select My Profile.
  • Click the to make necessary changes to address and/or phone numbers. Follow instructions as directed on Employee Dashboard site.
  • Click the Submit button to complete.

Employees have the option to receive their W-2 statement online on Banner through the Employee Dashboard system.

The benefits of receiving form W-2 and 1095-C electronically include:

  • Online delivery provides access to the W-2 and 1095-C statement earlier than the traditional mail process.
  • Online delivery eliminates the chance the W-2 and 1095-C statement will get lost, misdirected or delayed during delivery or misplaced after receipt by the employee.
  • Access is available at the same secure website where you can access wage and direct deposit information. You can receive W-2 and 1095-C statements while traveling or on assignment away from your home address.
  • You can retrieve your W-2 and 1095-C statements 24 hours a day, 365 days of the year.
  • You can print multiple copies at your convenience.
  • You are helping the college save on forms, printing and postage expenses.

Federal regulations require employees consent to receive their W-2 and 1095-C in an electronic format. Once consent is given, it carries forward each year and does not need to be repeated.

The process for requesting the electronic version is quick and easy. Just follow these steps:

  • Log on to Banner Web for Employee Dashboard.
  • Select Taxes.
  • Select the Electronic Regulatory Consent option.
  • Check the Consent to Receive W-2 Electronically box.
  • Check the Consent to Receive 1095-C Electronically box.
  • Click on the Submit button.
  • You will not receive a confirmation that your selection has been received. To confirm your selection, go back into the Electronic W-2 Consent option and make sure there is a checkmark in the boxes.

If you agree to receive your 2017 W-2 and 1095-C online, you must give your consent no later than Jan. 15, 2018. Once the tax documents are processed, employees who consented will be able to view and print the earning statements.

Disclosure notices
An employee who consents to receive the 2017 tax documents electronically will not be mailed a paper copy. Although the website storing your data is secure, it is never a good idea to email confidential data. If an employee does not consent, Payroll will continue to mail the W-2 to the address on record no later than Jan. 31.

An employee who chooses to revoke consent may do so by following the same process noted above for electing electronic delivery. To revoke consent, remove the checkmark from the box authorizing the action on the Banner Employee Dashboard. Withdrawn consent does not apply to previously issued W-2 and 1095-C statements.

Payroll will mail W-2 statements to the address on record of those employees who separated service from the college. Human Resources will mail 1095-C statements to the address on record of those employees who separated service from the college.
